Job Title: Operations Assistant

Location: Kampala, Uganda

Reports To: Operations Manager

Job Purpose:

As the Operations Assistant, you will be responsible for supporting the day-to-day operations of the company. You will assist in ensuring the smooth running of all aspects of the business, including managing people, managing the fleet of vehicles, ensuring timely staff attendance, checking and ensuring all client orders are delivered on time, ensuring sufficient stock is available, and ensuring 100% client satisfaction on service delivery.

Key Responsibilities:

Assist in managing the day-to-day operations of the company under the guidance of the Operations Manager.

Provide support to the Operations Manager in managing and leading a team of employees, providing guidance, training, and development opportunities to ensure their success.

Assist in managing the fleet of vehicles, ensuring they are in good mechanical condition and presentable at all times.

Ensure timely staff attendance, and report any attendance issues to the Operations Manager.

Assist in ensuring all client orders are delivered on time, and report any delivery issues to the Operations Manager.

Ensure sufficient stock is available, and assist in organizing the purchase of stock when necessary.

Assist in ensuring all staff, including staff at the remote branches, are doing their assigned duties and presenting themselves well physically.

Assist in putting in place processes where there is no standard operating procedure, and continually improve current processes.

Participate in weekly staff meetings to assess and discuss areas of improvement in current processes.
Ensure strict adherence to health and safety policies and procedures.

Assist in managing and overseeing all other aspects which involve running the business.

Key Requirements:

A bachelor’s degree in Business Administration, Operations Management or related field.

A minimum of 2 years’ experience in a similar role.
Excellent communication skills, both written and verbal.

Ability to multitask, prioritize, and manage time effectively.

Experience managing a fleet of vehicles, with knowledge of basic vehicle maintenance preferred.
Knowledge of health and safety policies and procedures.

Excellent problem-solving skills, with the ability to think creatively and strategically.
Proficient in Microsoft Office suite.
Strong attention to detail.
Ability to work in a fast-paced, dynamic environment.
